解决这个问题,我建议按以下CHECK LIST来检查:

1、检查你的CHART OF ACCOUNT,看一下FEDERAL INCOME TAX PAYABLE这个ACCOUNT是不是与EI PAYABLE,CPP PAYABLE一起,通常还设为“A”,这样下面会有一个SUBTOTAL ACCOUNT通常叫RECEIVER GENERAL PAYABLE或SOURCE DEDUCTIONS PAYABLE

2、如果第一步是这样的,那么,检查一下FEDERAL INCOME TAX PAYABLE这个ACCOUNT的OPTION CLASS是不是PAYROLL TAX PAYABLE

3、如果第1、第2都没有错,说明你原来的同事的设置并没有错,只不过,只不过INCOME TAX WITHHELD PAYABLE这个ACCOUNT的名字是FEDERAL INCOME TAX PAYABLE

4、接下检查PAYROLL LINKED ACCOUNT的“TAXES”下面的“TAX”是不是LINKED到FEDERAL INCOME TAX PAYABLE,如果是,那么,原来做的并没有错。

因此,如果经过上面的检查,那么,可能是FEDERAL INCOME TAX 这个名字让人产生误解,所以,如上无误的话,你喜欢的话可将这个名字改成更清晰的如INCOME TAX WITHHELD PAYABLE。

    本文发表在 rolia.net 枫下论坛刚从college毕业,接手一家小公司的bookkeeper工作。
    公司一直是请CA firm的人来做year-end financial statement的,上礼拜CA看了我们的Trial Balance,对payroll有疑问。因为之前的那个bookkeeper一直把Federal Income Tax Payble当Income Tax Payable来记帐,也就是每次都抵扣CPP payable,EI Payable及Federal Income Tax Payable。所以CA就说了:这是不对的,你再加一个Payroll Tax Payable的account吧。好,我加了。
    然后,12月底发工资时,因为种种原因,某位员工的工资要延迟到07年1月才能发,所以我当时就做了accrual.但是原来的chart of account里面是没有Salaries Payable的,所以我也加了这个account.
    现在,问题出来了,当我要pay employees时,我click on Paycheques时,就弹出来一个dialogue box: " Some essential linked accounts for this module are undefined. Enter them before entering a transaction here." 之后就跳出Payroll Linked Accounts的设置表。
    我想是因为我加了两个accounts,所以一定要反映在这个Payroll linked accounts里,可是我该怎么改呢?Income Tab里好像已经没有可改的。Deductions也没有,Taxes我就把原来的Tax从Federal Income Tax Payable改成Payroll Tax Payable。可是还是不行。

    • Unfortunately I don't have Simply Accounting in front of me. Double check the Payroll Linked Account table, make sure every payroll item is linked to the proper account.
    • BTW, how did you do your year-end payroll accrual? The easist way is to do it by a general journal entry, then in the new year reverse that accrual entry. In this way it won't affect the payment to the employee and payroll reporting.
      • Thanks for the reply. Yeah, I did it under general journal's "misc. transaction". The problem is
        As you said in the above, "make sure every payroll item is linked to the proper account." For these two newly added items, I didn't know where to link them in the Payroll Linked Account setup. There seems no place to put these two funny things. Is it possible that you check it later when you have a chance to work on Simply Accounting and revert to me on this?

        • Salary Payable is used as an accrual account and doesn't need to link to any payroll item. You just need to redirect the "Federal(Provincial) Income Tax Payable" to the "Payroll Tax Payable" account you created. All other links remain the same.
          You must have touched something in that table. If you have backed up your file before, you can restore that file to a temp location and compare the old settings with the current settings.
          I hope that helps. I am afraid I won't have the chance to check into Simply Accounting for a while, unless somebody sends me a free disc as a gift. :)
          • Hey, Pingle, can't believe you reply so fast. XOXO. Well, I checked, double-checked and triple-checked the table and made sure nothing is different from the previous setting.
            And you know what, I had several backups and only those without these two newly-added accounts can run "Paycheques" function. I guess that's because I don't know how to redirect the "Federal Income Tax Payable" to the "Income Tax Payable" account. So am I suppose to set "Federal Income Tax Payable" as the subaccount of "Income Tax Payable"?

            Hate Simply Accounting. I like Quickbooks better, easier to "manipulate". Even our CA said so.

            • 我已经快两年没用过Simply Accounting了。:) 从记账角度来说,Simply Accounting简单干脆,audit trail简明清楚。Quickbooks好是好,功能够强大,但是真正用得好的用户比较少,由于允许用户任意改动调整,容易弄得很混乱。我从前接手的烂账,用QB的居多。:D
              继续试试远程诊断吧,1、去Chart of Accounts看看你那个Payroll Tax Payable账户的类型有没有设对,应该是跟EI Payable一个类型。2、在Payroll Linked Accounts的设置表里,每个payroll项目后面对应的account应该有个下拉箭头,点开可以进去选你要找的账户,或者是可以直接输入你要改成的那个账号。比如,Regular Salary 对应的是 “3001 Wages & Salary”,EI Expenses 对应的是 “3015 EI Expenses”,等等。

              如果还解决不了,只能找个人打开你的file来帮你看了。

              go through the affected accounts 3. Dont create unnecessary sub. accounts under another sub. account in your payroll , otherwise you will get confused.

                正如我在主题里说的,我用备份文件查过,Payroll Linked Account的设置是和原来一样的,我没有改动过任何东西。我想最大的问题就是,因为现在有两个Tax Accounts (Income Tax Payable及Federal Income Tax Payable),但是在Payroll Link Account的table里,关于TAX这个部分,你只能link一个对不对?所以不管我link哪一个,总是有另一个等于是outstanding的。而且讨厌的是,Federal Income Tax Payable的Trial Balance里面是有从2006年carry forward过来的数据,基本上你就拿它没办法。我在想,能不能在General Journal里做一个entry,将Federal Income Tax Payable的金额转到Income Tax Payable里,然后delete掉这个 Fed Tax payable account? 再有一个办法就是:我就不管了,将错就错,继续用Federal Tax Payable as Income Tax Payable.

                To BACKTOHOME, 我知道将一个subaccount设置成另一个subaccount实在是很confusing,咱不是没办法了么?:D 您看了我上面的解释,有没有什么其他建议呢?

    • "Taxes我就把原来的Tax从Federal Income Tax Payable改成Payroll Tax Payable。" In FITP account, there are transactions for this account already. I Dont think you can change it to another account. What category did you assign for payroll tax payable?

      • 谢谢,我本来就想只改名称的,但是担心会造成2006及2007chart of account的不一致,所以add instead of changing account name。如果各位高手认为其实改个名字不会太大麻烦,我宁愿象homedream所说,只改个名字。怎样?
        • 名字是次要的,关键是CHECK 一下SETUP是否正确,如无误,向CA解释清楚,PAYROLL的科目最好不要随便去改动。CA不一定都是正确的。
          • 检查过设置,没有问题。我大概知道怎么做了。真是非常非常感谢。
