Location: 301 St. Paul Street, St. Catharines
Are you looking for a great opportunity to apply your organizational, time-management, financial and administrative skills?
Bring your office Administration experience and enthusiasm to the Corporate Business Services Branch where you will provide support to Accommodation Management Office and the Information Management Services Office.
What can I expect to do in this role?
• Provide financial administrative support by processing project invoices, expense claims, monthly invoice, budget forecasting and p-card reconciliation
• Review briefing materials for format, grammar and spelling
• Deal with incoming inquiries and arrange meetings
• Coordinate schedules and appointments
• Participate in office/branch meetings, identify administrative needs and help solve issues, using creative thinking and problem-solving skills
• Liaise with office staff to ensure daily operational functions run smoothly
• Help with on and off boarding of staff
• Work with the office staff to ensure smooth delivery of deliverables
Qualification:
Financial Administration Knowledge
• you have knowledge of administrative and office procedures including procurement and financial directives
• you know and can implement government financial and budgetary processes and forecasting
• you can use your knowledge to respond to inquiries and address discrepancies related to the financial and administrative functions of the job
• you are comfortable processing staff invoices and expense claims
• you can oversee office practices such as attendance tracking, supply replenishment, asset management
Organizational Skills
• you can use reasoning and organizational skills to determine what matters should be given priority when performing a variety of different tasks with conflicting deadlines
• you can coordinate your own work with other administrative staff to ensure priorities are met during peak workload periods
• you can work with staff to organize functions including arranging meeting facilities, coordinating arrangements for meetings, travel and accommodations
• you can maintain electronic and hard copy of filing systems, as well as record retention
Communication and Interpersonal Skills
• you communicate effectively and can prepare and present information in a clear and concise manner
• you can use tact and sound judgement when dealing with contentious matters
• you have initiative and possess interpersonal and team building skills to allow you to be successful in performing in a team environment
Information Technology and Office Automation Skills
• you are proficient with various computer software applications (e.g. Word, Excel, Outlook and PowerPoint)
• you can enter information on the IFIS system
• you can support staff with computer software applications/problems and liaise with IT support
